    CAREER DESCRIPTION

    OFFICE ASSISTANT / OFFICE TECHNICIAN

    Salary may be negotiable within the range listed above, based on position requirements and successful candidate’s qualifications, subject to appropriate authorization.

    OPEN TO THE PUBLIC

    This recruitment will establish an open eligible list and will be used to fill current and future Office Assistant and Office Technician vacancies until the next recruitment. The eligible list established may be used to fill positions in similar and/or lower classifications within the County of Orange.

    DEADLINE TO APPLY

    THE AGENCY

    The immediate Office Technician vacancy is within the Health Care Agency department; however, future Office Assistant and Office Technician vacancies may arise in other agencies based on business need. Agencies where Office Assistant / Office Technician vacancies may occur include, but are not limited to Child Support Services, OC Community Resources, Probation, or Social Services Agency.

    THE OPPORTUNITY

    The County of Orange is seeking motivated, detail-oriented administrative professionals for Office Assistant and Office Technician positions. These roles are the backbone of County operations, providing essential support to diverse departments and the public. Whether assigned to a high-volume front desk or a specialized technical unit, successful candidates will be responsible for maintaining professional standards in communication, digital workflow, and record management. Working under general supervision, incumbents are expected to exercise initiative and technical judgment in a fast-paced environment.

    Key responsibilities across these classifications include but are not limited to:
    • Serving as the first point of contact for the public; providing professional, courteous service while handling inquiries, complaints, and requests for information with neutrality and tact.
    • Utilizing a keyboard to produce, format, and edit a wide variety of materials, including reports, correspondence, financial records, and legal documents.
    • Managing high volumes of electronic communication via Microsoft Outlook, including scheduling complex meetings, maintaining shared calendars, and ensuring a free flow of information.
    • Reviewing documents to ensure signature readiness by correcting grammar, spelling, punctuation, and sentence structure.
    • Entering, retrieving, and updating information within automated systems such as Windows, Microsoft Word, Excel, and PowerPoint; maintaining accurate logs, files, and statistical reports.
    • Operating and troubleshooting modern office equipment such as high-speed scanners, multi-function printers, and telecommunication tools.
    • Some positions may require working varying shifts (e.g., nights, weekends and/or holidays). Additionally, assignments may be located at various facilities throughout Orange County based on operational needs.

    CORE COMPETENCIES

    The ideal candidate will demonstrate a blend of technical proficiency and interpersonal excellence. To be successful in these roles, candidates must prove expertise in the following areas:
    • Experience with the Microsoft Office Suite, with specific emphasis on Microsoft Outlook for professional coordination.
    • Attention for detail and the ability to identify and correct errors in spelling, grammar, and document structure to maintain the County’s professional image.
    • The ability to interact effectively with a diverse public, anticipating needs and resolving disputes with composure.
    • The ability to enter data and produce documents with speed and accuracy; candidates for Technician-level roles must demonstrate a corrected typing rate of at least 45 words per minute.

    SPECIAL REQUIREMENTS

    Certain assignments or departments may require a more extensive background investigation as a condition of employment. Candidates must successfully clear this process to the satisfaction of the hiring agency prior to their start date. All employment offers for these positions are contingent upon the successful completion of the required background investigation.

    RECRUITMENT PROCESS

    Applicants who have demonstrated meeting the minimum and/or desirable qualifications based on their responses to the supplemental question(s) will be invited to participate in one or more job-related assessments.

    Online Assessment (Weighted 100%):

    Applicants will be notified of their test date and access code, if applicable. After the assessment is completed and scored, only those applicants who are most competitive will move forward to the next step in the recruitment process.

    Application Screening by Human Resources Services (HRS):

    After the assessment is completed, applications will be screened for qualifications that are highly desirable and most needed to successfully perform the duties of this job. Only the names of candidates whose qualifications were verified will be referred to the next step regardless of their score on the assessment.

    Eligible List:

    Once the candidates’ application screening has been completed, HRS will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.

    Based on the Department's needs, the selection procedures listed above may be modified. All candidates will be notified of any changes in the selection procedures.
