    Definition and Class Characteristics

    INTERVIEWS FOR SELECTED CANDIDATES WILL BE HELD ON APRIL 1 & 2, 2026.

    If you are organized, detail-oriented, and comfortable handling physical tasks such as lifting packages, we have a rewarding opportunity for you! Nevada County is seeking a customer service-oriented Office Assistant II to support operations in our busy and dynamic Central Services Shipping/Receiving Mailroom. This position plays a key role in ensuring timely and accurate mail processing and delivery for County departments.

    Core Duties and Responsibilities

    Receiving and Sorting Mail
    Receive letters, packages, and deliveries from postal services and couriers. Sort items by department, individual, or delivery priority to ensure timely distribution throughout the organization.

    Processing Outgoing Mail
    Prepare outgoing mail by weighing items, calculating postage, affixing labels, and ensuring compliance with postal regulations. Process express shipments, overnight packages, and large mailings.

    Record-Keeping and Tracking
    Maintain accurate logs of incoming and outgoing mail, including certified, registered, business reply mail (BRM), and time-sensitive items. Assisting with tracking packages to ensure delivery confirmation and prevent loss.

    Equipment Operation
    Operate and maintain mailroom equipment including postage meters, scanners, folding machines, and other office equipment. Assist with document processing tasks such as scanning and data entry.

    Customer and Vendor Interaction
    Assist County employees with all types of shipping related requests, support completion of required forms, handle sensitive materials, and coordinate pickups and deliveries with external courier services.

    Inventory and Supply Management
    Monitor and maintain shipping supplies such as envelopes, boxes, forms, labels and postage. Place supply orders as needed to ensure uninterrupted operations.

    Desired Skills and Abilities

    The ideal candidate will demonstrate the ability to:
    • Provide strong customer service to internal staff and external partners
    • Understand and follow verbal and written instructions
    • Organize and maintain accurate records and files
    • Maintain attention to detail in a fast-paced environment with frequent interruptions
    • Learn specialized processing procedures and office support tasks
    • Adhere to Federal and State mandated chain-of-custody procedures and established internal controls to ensure secure handling and timely processing of sensitive, confidential, and time-critical materials.
    • Establish and maintain effective working relationships
    • Use initiative and sound judgment within established guidelines
    • Operate standard office equipment including computers, copy machines, postage meters, folding machines, and telephone systems
    • Perform accurate arithmetic calculations
    • Prioritize work and manage multiple tasks simultaneously
    • Be able to problem solve and work independently
    • Be a Self-Starter
    • Be able to stand and/or walk long periods of each day
    • Be able to drive safely in inclement weather conditions

    Education and Experience

    Equivalent to completion of twelfth grade, and two (2) years of work experience at a level equivalent to Nevada County’s classification of Office Assistant I.

    Experience in the public sector desirable.

    Licenses and Certificates

    Possession of a valid driver’s license.

    Education and Experience Required

    Equivalent to completion of twelfth grade, with coursework or practical experience in typing and t wo or more years of general clerical or office assistant experience at a level equivalent to Nevada County's classification of Office Assistant I.

    Retirement
    The County is a member of the CalPERS retirement system and also provides the opportunity for voluntary contributions to a 457 deferred compensation account through Nationwide by way of pre-tax and Roth payroll deductions.
