    Major Duties

    Under general supervision, the Administrative Support Assistant contributes to the daily effectiveness of Project Rebound through comprehensive customer service, administrative coordination, and operational support. The incumbent ensures the front office operates efficiently, supports students and staff with travel, events, payroll, and documentation processes, and maintains accurate financial and program records. Responsibilities also include assisting with student assistant employment processes, coordinating space reservations, preparing meeting materials, supporting scholarship and foundation transactions, and contributing to special projects and program initiatives that enhance student engagement and departmental success
    • Responsible for front office reception, which includes answering phone calls, proactively responding to voicemails, emails, and greeting and assisting visitors.
    • Provides appropriate/accurate information and/or routes inquiries to other program personnel or campus offices.
    • Assist with student/group travel requests and mileage reimbursements to ensure compliance with CSU travel policies and procedures and University travel guidelines. Assist the lead Administrative Support Coordinator II (ASC - II) with completing forms and collecting documents in order to gain approval for the student/group to travel.
    • Reviews campus and online timesheets for Student Assistants.
    • Processing Foundation fund requests (i.e. check, p-card etc.).
    • Performs other duties as assigned.

    Qualifications
    • Equivalent to three (3) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed.
    • Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience on a year-for-year basis.


    Knowledge, Skills, & Abilities
    • Comprehensive knowledge of front-office operations and administrative support functions, with the ability to communicate professionally across phone, email, and in-person interactions; assess inquiries, provide accurate information, route requests appropriately, and maintain organized office systems and records to ensure efficient daily operations.
    • Strong operational and technical proficiency, including inventory tracking, equipment oversight, scholarship and foundation fund processing, payroll distribution, website and listserv updates, and collaboration with campus partners such as technology services, physical plant management, and asset management.
    • Working knowledge of university travel policies, reimbursement procedures, and approval processes, with the ability to coordinate travel logistics, reserve campus spaces, arrange parking, and support compliance with institutional guidelines while assisting with events and special projects.
    • Demonstrated ability in data collection, documentation, and organizational coordination, including use of Qualtrics and departmental systems (e.g., VEOCI), preparation of meeting minutes, maintenance of emergency records, and effective support of advisory board activities and large-scale program events.


    Pay, Benefits, & Work Schedule

    • Classification: 1032 / Administrative Support Assistant / 2
    • The anticipated HIRING RANGE: $3565 - $3709 per month, dependent upon qualifications and experience. The salary range for this classification is: $3565 - $5092 per month.
    • HOURS: Full Time; 40 hours per week; Monday through Friday. May include evenings and weekends.
    • This is a Regular position with a one-year probationary period.
    • The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
