    Overview

    The Deputy Court Clerk III assists city customers and all court users. This position resolves customer inquiries by extensively researching every court case thoroughly, analyzing and providing accurate information for customers to resolve their cases. The incumbent receives high volume of inbound calls through an automated call distribution system and will return all messages left by customers within 24 hours.

    Responsibilities

    • Receive a high-volume number of calls through an automated call distribution system

    • Provide court related information to other departments or agencies

    • Transfer callers to other appropriate sections that will assist the customer

    • Research all court customer inquiries and provide accurate information so that customers can resolve their cases

    • Provide customers with answers to questions that will abide by legal assistance required by law.

    • Use INCODE, Microsoft Outlook and Word, and Laserfiche to respond to emails from court customers inquiring about their violations and case information

    • Possess knowledge of overall court processes to be able to accurately respond and must be able to type and use appropriate spelling and grammar

    • Reply to messages left in the phone queue within 24 hours

    • Listen to messages and respond by placing the call and providing customers with the information needed to help them resolve their case

    • Use INCODE to maintain and update customer files depending on the conversation

    • Ensure the Court has the most up-to-date information including name changes, address, phone numbers and email addresses, whether there is an attorney on the case, and be able to enter concise comments on every case touched

    • Help with receiving, opening, and documenting mail and forwarding correspondence to appropriate sections of the Court

    • Utilize INCODE to update information and enter comments

    • Process payments over the phone and initiate payment plans and perform other duties required to assist the caller to resolve their case

    Position Type and Typical Hours of Work

    • Non-Exempt - Full-Time- Monday-Friday 8:00am-5:00pm

    • Must be available to work additional hours as needed

    • Flexibility to work evenings, weekends, and holidays is a schedule requirement

    • In the event of an emergency, employees are required to work to provide for the safety and well-being of the public, including the delivery and restoration of vital services

    Minimum Qualifications

    • High School Diploma/GED

    • Three (3) years of experience

    Licenses and Certifications

    Required

    • A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hiring

    Required within eighteen (18) months of hire

    • Level I Court Clerk Certification

    Employment Testing

    Employment is contingent on passing any post-offer pre-employment screening as listed below:

    • Criminal Background Check: Yes

    • Police Background Check: No

    • Motor Vehicle Record Check: Yes

    • Drug Screening: Yes

    • Physical Exam: Yes

    • Clearing House Query: No

    Basis of Rating

    A recruitment consultant will evaluate all applications against the posted qualifications. The city may also conduct additional skill assessment tests, in addition to the panel interview
