    Overview

    We’re looking for a detail-oriented, tech-savvy Administrative Specialist II to support HR operations, training programs, website maintenance, and front desk reception. This role is perfect for someone who enjoys helping others, communicates with ease, and feels confident being the friendly first point of contact for our department.

    You’ll be part of a close-knit administrative team, working under the guidance of a lead administrative staff member and reporting to the Accounting Manager. After training, this hybrid position offers three days in the office and two remote days each week.

    Responsibilities

    What you'll be doing:
    • Serving as the first point of contact at the HR front desk, greeting visitors, answering phones, and providing excellent customer service.
    • Maintaining and updating HR webpages, policies, and content to ensure accuracy, accessibility, and consistency.
    • Conducting website audits to identify and correct outdated materials or broken links.
    • Administering the County’s Learning Management System (LMS), including user setup, course enrollment, reporting, and troubleshooting.
    • Coordinating class scheduling, logistics, and setup with trainers and departments.
    • Maintaining office operations, including checking and routing mail, shared Google inboxes, ordering and tracking of office supplies, and equipment.
    • Processing manual employment verifications, special requests, and personnel file reviews.
    • Coordinating the tuition reimbursement and second language programs.
    • Maintaining employee evaluations and assisting with compliance tracking and reporting.
    • Managing key fob access and related records.
    • Partnering with HR team members on special projects and cross-functional initiatives.

    What we're looking for:
    • Strong attention to detail and accuracy while managing multiple priorities.
    • Proven ability to multitask and stay organized, even when frequently interrupted or redirected.
    • Friendly, customer-focused approach with excellent communication and interpersonal skills.
    • Ability to work well with a variety of personalities and maintain professionalism in all interactions.
    • Experience serving as a system administrator or lead user for software platforms used by multiple departments or teams.
    • Collaborative team player who values relationships and contributes to a supportive, high-trust work environment.
    • Proficiency with Google Workspace (Gmail, Docs, Sheets, Forms, Calendar) preferred.

    • Must be at least 18 years of age.
    • One (1) year experience as an Administrative Specialist I or two (2) years of experience in a directly related field or in the performance of similar office administrative duties and responsibilities required.
