    The ideal candidate is detail-oriented and organized, with strong administrative and customer service skills. They support the group sales team by managing lead tracking, data entry, and other key tasks that keep operations running smoothly.

    Minimum Qualifications
    Required:
    • Valid Texas Driver's License
    • H.S. Diploma or GED equivalent
    • 1 year of customer service experience, preferably in a tourism, hospitality, or retail environment
    Preferred:
    • Retail experience in a visitor center or tourism-related setting

    Position Overview
    Under basic supervision, the Part-Time Destination Travel and Sales Associate provides essential support to the Destination Marketing Organization's group sales team. This position assists with lead tracking, data entry, customer service, and other administrative functions. The Sales Associate also helps represent Waco as a welcoming destination by assisting at the Welcome Center as needed. This is a dynamic, team-oriented role ideal for someone organized, customer-focused, and passionate about promoting the Waco area. Works under the direction of the Assistant Director of Destination Travel and Sales, contributing to the DMO's mission of promoting Waco as a premier tourism destination. Embodies the City of Waco's commitment to service, inclusivity, and excellence.

    Essential Functions
    • Enters and maintains sales leads, contacts, and event information in the Customer Relationship Management (CRM) System.
    • Assists with preparation of proposals, bid books, reports, and event evaluations.
    • Provides administrative and logistical support to the DMO Sales team, including scheduling meetings, organizing site visits, and compiling materials.
    • Supports pre- and post-event follow-up efforts, including gathering and confirming data from hotel partners and other stakeholders.
    • Responds to phone and email inquiries related to group travel or event planning, routing them appropriately.
    • Helps coordinate and support Familiarization (FAM) tours and site visits for prospective clients.
    • Assists with industry research, database clean-up and compiling mailing/contact lists.
    • Maintains accurate and up-to-date files for sales records and documentation.
    • Provides exceptional customer service to Welcome Center visitors and DMO clients, offering accurate information about Waco’s attractions, events, and hospitality offerings to enhance visitor experiences.
    • Participates in basic destination knowledge training provided by the DMO to stay informed about Waco’s tourism offerings and deliver accurate information to visitors.
    • Serve as a backup Welcome Center representative, greeting visitors, providing tourism information, and assisting with merchandise sales as needed.
    • Maintains confidentiality of work-related issues, client information, and City of Waco data, adhering to all policies and standards.
    • Adapts to a flexible schedule, including regular weekend shifts and occasional evenings, to support Welcome Center and Mobile Welcome Center operations.
    • Performs other related duties as assigned to support the DMO’s mission and the City of Waco

    Governance and Organization

    Waco is a home rule city with a council-manager form of government. The City Council sets the tax rate, approves the budget, appoints members to City boards and commissions, enacts City ordinances, and appoints the City Manager, City Attorney, City Secretary, and the Municipal Court Judge.

    The City has a strong Financial Management Policy that guides the operation and delivery of quality City services, contributes to excellent AA+ and Aa1 bond ratings, and maintains an unassigned fund balance reserve in the General Fund equal to 28% of current year budgeted expenditures. The City of Waco has more than 1,600 employees and a total operating budget of over $400 million.
