DESCRIPTIONThe Department of Economic Development has an immediate opening for a full-time, at-will, unclassified Bureau Secretary in the Real Estate Development Bureau. This position reports to the Real Estate Development Bureau Manager and plays a key role in support of a busy and vibrant organization. The Department has approximately 90 employees with four bureaus: Business Development, Business Operations, Property Development, and Workforce Development with seven divisions located in four work sites across two cities. The Department of Economic Development's mission is to create economic opportunities for workers, investors, and entrepreneurs with an annual budget of over $22 million from six different City funds. The position is located at City Hall, 411 W. Ocean Boulevard, Long Beach, CA 90802.
The Department of Economic Development is a innovative revenue-generating department that leverages Federal, State, and City resources to generate growth in property, sales, and transient occupancy taxes that pay for services citywide. The Department continuously works to implement the recommendations of the 10-year Blueprint for Economic Development. This comprehensive plan provides policy recommendations and will further Long Beach as an innovative ecosystem that lays a foundation for entrepreneurial success from business start-up to growth.
EXAMPLES OF DUTIES- Provides clerical support to the Real Estate Development Bureau and Bureau Manager;
- Compiles information and data for use in preparing various records and reports;
- Schedules meetings, appointments, assists with preparation for travel and other various assignments related to the bureau functions;
- Interprets departmental policies procedures and operations to the public or City personnel;
- Maintains calendar and address book for the Bureau Manager and Real Estate Officer;
- Creates and maintains flyers, desk manuals, bureau records and other materials;
- Prepares and manages correspondence, reports and documents, including but not limited to, tracking City Council, Economic Development Commission, and Planning Commission, Bureau items;
- Takes and transcribes dictation, typing a variety of letters, memoranda, reports and schedules, including material of a confidential nature;
- Coordinates requests from the City Council, City Manager's Office, or other clients;
- Provides back up support to the Executive Assistant and seven bureau staff;
- May supervise other clerical personnel;
- Performs other related duties, as required.
REQUIREMENTS TO FILEMINIMUM REQUIREMENTS EDUCATION - High School Diploma or equivalent
EXPERIENCE
- Five (5) years or more progressively responsible secretarial/ clerical experience
DESIRABLE QUALIFICATIONS - Proficiency in the use of computers including email, internet, and office productivity software (e.g., Microsoft Office)
- Experience in the public sector (e.g., government agency)
S UCCESSFUL CANDIDATE WILL DEMONSTRATE - Exceptional verbal, written, and customer service skills including the ability to maintain confidentiality.
- Excellent planning, interpersonal, and time management skills.
- Flexible and adaptable with respect to changing priorities.
- Strong attention to detail.
- Ability to work well with all levels of City government, residents and businesses.
- Proficient in spelling, grammar, punctuation, and English language skills.
- Skilled in a wide range of software, including Word, Excel, PowerPoint, Outlook, Internet, Zoom, Microsoft Teams, etc.
