    Executive Assistant to the Chief of Police
    (Administrative Analyst/Specialist - Non-Exempt)

    INTERNAL APPLICANTS ONLY

    Compensation and Benefits

    Anticipated Hiring Salary Range: $4,400 - $4,700 per month

    Full CSU Classification Salary Range: $3,879 - $7,488 per month
    • This is a full-time (equivalent to 40 hours per week), probationary, non-exempt position.
    • Area of consideration is limited to on-campus, state funded employees only.
    • The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year.     Job Summary

    The Executive Assistant to the Chief of Police provides high-level administrative support to the Chief and serves as a key liaison between department leadership, campus partners, and external agencies. Core responsibilities include managing the Chief’s schedule, calendar, and travel arrangements; drafting correspondence, memos, and reports; preparing presentations and meeting materials; and supporting fiscal operations by tracking expenditures, processing purchases, and assisting with budget tracking and reconciliation.

    Key Qualifications
    • Knowledge of:
      • Knowledge and skill in methods and procedures for research and statistical analysis and the ability to apply them.
      • Budget and purchasing practices, policies and procedures.
      • Knowledge of generally accepted accounting principles, practices and governmental accounting methods.
      • Strong understanding of office methods, procedures, and best practices.
      • Standard office equipment and software packages (i.e. Microsoft Office Suite, Google email and calendar, etc.)
    • Skill/Ability to:
      • Mastery of English grammar, spelling and punctuation, and demonstrated competence in presenting standard information in writing.
      • Demonstrated ability to clearly communicate orally with strong interpersonal and problem-solving skills to serve as the front-line for a variety of high-level campus and community individuals.
      • Review documents for accuracy, completeness, validity and adherence to standards.
      • Interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
      • Understand and troubleshoot most office administration problems and be responsive to inquiries and requests.
      • Create, organize and maintain accurate technical, complex, sensitive and/or confidential records and files.
      • Perform business math, analyze data, and make accurate projections requiring some inference.
      • Establish and maintain cooperative working relationships and promote a positive, service oriented collegial work environment with people of diverse backgrounds.
      • Create and maintain program records and provide data for review in developing and implementing strategies to support programmatic goals and enhance processes.
      • Work in a flexible, collaborative manner; establish and maintain effective working relationships.
      • Demonstrated ability to take initiative and independently plan, organize and work in a fast-paced environment with frequent interruptions, shifting priorities, critical deadlines and consistently provide quality customer service.
      • Apply independent judgment, discretion, and initiative to address problems and develop practical, thorough, and creative solutions.
      • Demonstrated ability to deal appropriately with confidential information and exercise good judgment on sensitive matters.

    Education and Experience
    • Bachelor’s degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
      • Preferred Skills:
        • Experience working in a public safety environment.
        • PeopleSoft Financials experience.
        • Experience in a higher education setting.
