Why you’ll love this position: As part of the Office of Quality Schools, the
Grants and Resources unit supports the collaborative work that the Department and Local Education Agencies (LEAs) engage in to serve educationally disadvantaged, English language learning, gifted, homeless, immigrant, migrant and refugee students, as well as students in low performing buildings. The unit provides grant opportunities and technical assistance for LEAs as required by state and federal law.
- Receive, screen and document applications from schools for any grants associated with this section.
- Coordinate and maintain the annual Nonpublic Registration for approximately 450 nonpublic schools in a mass mailing; including all follow up emails to both nonpublic and public schools to ensure eligibility of the Title services.
- Provide technical assistance to callers in navigating the DESE Nonpublic Registration System.
- Provide support and guidance by working with the Office of Administration Information Technology section on changes and updates to the Nonpublic Registration web application.
- Create and maintain a database for the section’s grants.
- Review bills and invoices for accuracy before completing payment paperwork.
- Assist with logistics, material, registration and agenda for meetings, grant readings, workshops and conferences to support the section’s activities.
- Prepare correspondence, reports, presentation material and other items as needed.
- Answer telephone inquiries about the section’s activities and disseminate information.
- Maintain the section’s web site.
- Proofread correspondence, manuals, grant applications, brochures and other items for accuracy, timeliness and conformance with standard policy.
- Maintain section’s inventory and records and archive older records.
- Route documents and contracts to appropriate person(s) for review and approval.
- Proofread and send Federal Programs’ List Serve e-mails. Update List Serve web page to keep a current copy of all messages sent in the archives’ web page.
- Perform other related work as assigned.
- Assist with calling districts that have not submitted correct/ timely data and /or assurance certification.
- Arrange for the teleconference and webinar for the Committee of Practitioners. E-mail all documents and information to participants; confirm who will be participating in the committee, prepare and process expense accounts, order lunch and process bill, and post all handouts on the web page.

Minimum Qualifications: - Graduation from high school or GED equivalent through which knowledge of English grammar and punctuation, basic typing or keyboarding, and basic mathematics may have been acquired.
- One year of relevant work experience.
