    Administrator I

    RESPONSIBILITIES & DUTIES:

    Manages application processing and admissions evaluation by training, monitoring, and supervising the admission evaluators. Prepares, distributes, and prioritizes daily work assignments. Ensures staff members are trained in all aspects of admission evaluation including modifications as released. This includes the use of PeopleSoft/Common Management Systems (CMS), Assist, College Source/TES, Webadmit, and Slate as it pertains to application review processes.

    Manages the application and admission processes which includes updating filing periods, admission policies, procedures, deadlines, and admission requirements. Builds and modifies reports that drive workflow. Monitors the flow of applicant files throughout the admissions process to ensure completeness, accuracy, and timeliness of all operational functions. Recommends and implements policy and/or procedure changes as necessary and appropriate to increase efficiency and improve service to students, faculty, and staff. Works with the Director of Admissions and Recruitment in ensuring that all documentation, business process guides, and procedure guides necessary for evaluation are updated. Ensures all processing of applicants is correct and completed within established department and campus deadlines. Coordinates admissions, including but not limited to, admission and evaluation of eligibility, admissions, admission exceptions in accordance with state, federal, and CSU regulations. Works with admissions evaluators to determine report needs and specifications, determines best approach for reports development, and communicates as per established protocol. Responds to inquiries from applicants, prospective students, counselors, and parents via email, phone, in person, and online. If a precedence does not exist, utilizes professional judgement and assists in the resolution of specific cases prior to reaching the Director of Admissions and Recruitment. When necessary, provides guidance related to residency questions, in collaboration with the Registrar’s Office. Works closely with the Enrollment Management Marketing and Communication team to ensure communication, publications, and websites are updated for appropriate tone and messaging for students.

    Chairs the Admissions Appeal Committee and ensures that decisions are issued in a fair, consistent, and timely manner. Works collaboratively with various campus departments on interpretation and implementation of policies and requirements pertaining to admissions and enrollment. Coordinates training and review of admission evaluation processes with other departments and across divisions, including but not limited to Educational Opportunity Program, Extended University, School of Education, Business, and Arts & Sciences, Registrar Office, and International Programs. Represents the admissions office on committees, at operational meetings, at conferences with the Director of Admissions and Recruitment, or serves as the point person for admissions when the Director is not available. Represents the CSU and CSUCI at programs and events for prospective students, parents, counselors, educators, and community members. Assists with the planning and implementation of other related programs and events as well as the development and editing of admissions and recruitment materials.

    Works with Enrollment Management Systems to coordinate technical operations in PeopleSoft and Data Warehouse including day-to-day functions, programmatic changes, mass changes, quarterly term setup, ERSS/ERSA, queries, workflow adjustments, upgrades/improvements, etc. Serves as the lead contact for e-Verify for Associate Degree in Transfer (ADT) and related student information systems. Researches and recommends updates to online transfer student inventory for ADT processing and reporting to the Chancellor's office. Recommends technology upgrades as appropriate to keep pace with demand. Makes recommendations and plans to help improve upon processes. Participates in work groups, meetings and committees as required and/or related to CMS Admissions Module. Assists with any testing of system upgrades, new programming features, maintenance packs, etc. Responsible for term set up within the PeopleSoft system for every evaluation term, (e.g., checklist processor, check list item definitions, deadline dates, etc.). Assists, when necessary, with responses to Chancellor’s Office reporting (e.g., ERS, Admission Audits) and assists in the maintenance and set up of Cal State Apply application for every term. When necessary, provides training to other units related to Cal State Apply. Utilizes PeopleSoft Database system for data entry and generating queries necessary for admission processing and providing reports to the Director of Admissions and Recruitment.

    Performs additional related duties as assigned.

    REQUIREMENTS OF POSITION:

    Education: Bachelor’s degree from an accredited institution; master’s degree preferred.

    Experience: At least 5 years of experience in student services work in higher education. Previous lead or supervisory experience of professional staff and support staff preferred.

    Other Knowledge/Skills: Knowledge and experience with CSU admissions requirements, policies, and procedures, preferred. Demonstrated ability to maintain effective organizational, public, and community relationships. Must collect, organize, and analyze complex information and generate reports to administrators. Excellent written and oral communication skills. Knowledge of campus curriculum requirements for majors, minors, terminal degrees, and special program designations. Ability to identify and determine problems in the evaluation process. Ability to prepare progress reports to inform supervisor of project status and deviation from production goals. Ability to provide instructional guidance and training of other admissions and recruitment staff to maintain expected levels of productivity and quality. Ability to perform on-going analysis of appropriate tools and technology to maximize efficiency and output in the evaluations process. Familiarity with best practices and procedures in admissions and recruitment, including AACRAO guidelines and government mandates, NACAC best practices, and how they contribute to a strong strategic enrollment management plan. Experience in leading diverse teams through change and improving both employee engagement and enrollment outcomes. Excellent knowledge of student information systems. Demonstrated critical thinking skills to analyze situations, identify problems and concerns, interpret and apply policies, and develop and implement solutions. Knowledge of the demographic and socioeconomic factors that influence college enrollment and retention practices, particularly in public universities. Ability to work effectively with prospective and enrolled students and their supporters; CSUCI faculty, administrators, and alumni; admissions colleagues at the other CSU campuses; administrators and counselors at feeder colleges and high schools; and external vendors who support Admissions and Recruitment. Strong written, interpersonal, and presentation skills to establish and maintain effective working relationships with a wide variety of constituents, both on and off campus; use of tact in working with these groups to balance competing interests. Ability to work in a results-oriented, fast-paced, and challenging environment where enrollment may fluctuate and targets may shift. Excellent organizational skills and ability to manage multiple projects concurrently and with attention to detail.

    A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

    The person holding this position is considered a ‘Campus Security Authority (CSA)’ to report crimes for the federally mandated Clery Act and is required to comply with the requirements set forth in CSU Executive Order 1107 revised March 24, 2017 as a condition of employment.

    The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

    Hiring Range: $7,500 - $8,000 per month
