    Job Summary:

    Under the general direction of the Vice President for Human Resources, the incumbent provides professional-level administrative and analytical support to the President’s board and Human Resources leadership. This position plays a key role in coordinating and evaluating projects, programs, and initiatives aligned with institutional goals. Responsibilities include maintaining complex schedules, timelines, budgets, and databases; supporting operational planning; and gathering and analyzing data to inform decision-making. The incumbent is expected to exercise sound judgment, maintain confidentiality, and communicate effectively with internal and external stakeholders. This position requires the ability to manage multiple priorities, apply cultural competence, and contribute to the continuous improvement of administrative operations.

    Responsibilities

    Program Administrator
    • Independent performance of varied or specialized administrative and analytical duties and/or service as a program administrator.
    • Initiate and prepare analytical records and summary reports of President Board meetings, and distribute them to relevant committee members.
    • Serve as a liaison/coordinator among the Board, its committees, members, and the various administrative offices on campus that interact with the Board.
    • Prioritize and respond to complex correspondence for the Board.
    • Prepare, Coordinate, and Implement complex retreats, and other related events for the Presidents Board.
    • Develop and execute strategic publications, targeted communications, and data-informed advertising initiatives to elevate the visibility and impact of Presidential Board programming.
    • Conduct program evaluations and analyzes data to assess the efficacy of programming efforts to meet program goals.
    • Design, Facilitate/co-facilitate complex training sessions on various program related topics.
    • Plan, coordinate, facilitate, and publicize programs, trainings, seminars, and conferences.

    Administrative Operation
    • Provide high-level administrative support for the Presidents Board ensuring smooth day-to-day operations.
    • Receive, process, and ensure confidentiality of sensitive information and materials, ensuring with applicable policies.
    • Generate routine correspondence, reports, and documentation with precision, applying advanced administrative practices and data-informed insights to support operational efficiency and decision-making.
    • Coordinate complex schedules and meetings; maintain comprehensive notes and records of all meetings.
    • Coordinate and manage travel logistics, ensuring full compliance with university travel policies, budgetary constraints, and critical timelines through meticulous planning and policy interpretation.

    Budget Coordination
    • Analyze, monitor, and maintain the Board budget.
    • Prepare budget projections and reports, applying operational and fiscal analysis.
    • Tracks and monitor budget spending to ensure alignment with policies; processes reimbursements, and reconciles invoices, requisitions, and procurement card statements in compliance with university policies and procedures.

    Assessment, Research, and Reporting
    • Prepare the Annual Report for the Board and all related subcommittees.
    • Serve as a resource person to the faculty, Administration, staff, and students regarding applicable policies and advise them on proper sources of information concerning Board policies and procedures.
    • Preserve and maintain all program records and other pertinent documents, ensuring compliance with record retention standard.
    • Maintain permissions and train/provide guidance to Board members on the use of the campus Assessment Management System for reporting purposes.
    • Collect and analyze data relating to the institution’s Strategic Plan goal(s), which includes survey design and development, data management and analysis, and report writing.

    Website Management
    • Maintain and strategically update the Board's website and affiliated webpages, ensuring content accuracy, data integrity, and alignment with university branding and communication standards through continuous evaluation and optimization.
    • Propose and create new content.
    • Edit webpages to maintain accessibility and compliance.
    • Analyze and propose content strategies to optimize site navigation and enhance overall user experience.

    Lead Work Direction
    • Delegate work assignments to student assistants and work-study students.

    Other classification-related duties as assigned.

    Minimum Qualifications

    Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS two years of related experience.

    Required Qualifications

    Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
    Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
    Working knowledge of operational and fiscal analysis and techniques.
    Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
    Skill in the research, development and evaluation of policies and programs, including skill in the collection,
    evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
    Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
    Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
    Ability to train others on new skills and procedures and provide lead work direction.

    Preferred Qualifications

    The equivalent of five years of progressively responsible experience in program creation or support.
    Excellent verbal and written communication skills.
    Attention to detail and excellent research and analysis skills.
    Excellent interpersonal skills and the ability to utilize discretion and keep information confidential.
    Ability to meet deadlines.
    Ability to work collaboratively in a team environment.
    Ability to organize and plan work and projects, including handling multiple priorities.
    Working knowledge of budget policies and procedures.
    Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
    Ability to compile, write, and present reports related to program or administrative specialty.
    Demonstrated ability to establish and maintain effective working relationships within and outside the workgroup and serve as a liaison for the organizational unit.
    Must be customer-service-focused and able to interact effectively and professionally with all levels of employees and managers in a team-based environment.

    Compensation and Benefits

    Anticipated Hiring Range: $4,598 - $8,318 monthly.

    Classification Salary Range: $$4,379 - $6,479 monthly.

    The salary offered will take into account internal equity and experience among other factors.

    The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year.     Position Information

    Full-time, Exempt, Probationary

    Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

    Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
