Bid Administrator
W.S. Darley & Co. (Itasca, IL) is seeking a talented, customer focused Bid Administrator in our Fire Equipment Division to support sales growth of firefighting equipment. This role plays a critical part in supporting state and municipal bid opportunities, serving as a primary resource for the preparation, coordination, and execution of public sector proposals. In addition to providing product and service information, including pricing/quotations, delivery timelines, order entry, expediting, and customer service, this position is heavily involved in ensuring accurate, timely, and compliant responses to government bid requests.
Our Inside Sales Fire Equipment team is responsible for maintaining and growing current customer accounts, while also partnering with the outside sales team to develop new business opportunities. This position will have a strong emphasis on expanding state and local government market share through competitive bidding.

Responsibilities:
• Lead and support the preparation, coordination, and submission of state and municipal bids, RFQs, and RFPs
• Review bid specifications and ensure all submissions are accurate, complete, and compliant with requirements
• Collaborate with sales, product, and operations teams to develop competitive and strategic bid responses
• Manage timelines and documentation associated with public sector bidding processes
• The ability to call, connect, and interact with current and potential customers
• Able to multitask, prioritize, and manage time efficiently in a deadline-driven environment
• Ability to work independently or as an active member of a team
• Possesses an energetic, outgoing, and friendly demeanor
• Duty to respond to customers promptly and accurately
• Ability to answer customer questions and resolve customer issues
• Provide pricing, product, delivery information, and order entry
• Manage customer accounts, including key public sector and government clients
• Follow up on customer interactions, including bid-related communications and award outcomes
Minimum Requirements:
• Clear communication skills (verbal and written)
• Interpersonal skills
• Attention to detail and accuracy
• Problem analysis and problem-solving
• Effective listening skills
• Proficiency in Microsoft Office Suite products
Preferred Requirements:
• Associate degree from an accredited institution
• Fire Service experience a bonus
• Bilingual is a bonus
• Experience in a sales support role, Inside Sales or Direct Sales preferably in a Business-to-Business relationship driven role.
