SUMMARY: This position provides broad administrative and program support to USTDA operations and program staff. Duties span travel management, grant/contract deliverable review, data entry in TDAMIS/SharePoint, report generation, correspondence management, and records support. Selected personnel require cross-training on IRC functions to provide operational coverage. KEY RESPONSIBILITIES:
• Provide general administrative management support including review and verification of grant and contract deliverables (final reports, cost share certifications, invoices)
• Manage travel documentation and support the Office of Administration with travel-related coordination per federal travel regulations
• Initiate and maintain data entry in USTDA's information management systems (TDAMIS, SharePoint) including fiscal, program, contract, and grant data
• Develop and run program and financial reports from agency information systems; provide data for USTDA Annual Report statistics
• Process internal and external requests for project or agency reports; track report checkouts; assist with USTDA mailing list development and maintenance
• Receive public inquiries via website, phone, and email; route appropriately; provide agency-wide daily personnel status notifications
• Support records clean-up, onboarding/offboarding assistance, and conference room coverage as directed by PM REQUIRED QUALIFICATIONS:
• Bachelor's degree required in business, information management, or related field
• Minimum 7 years of administrative management or relevant work experience
• Experience with federal information management systems; proficiency in Microsoft Office Suite including SharePoint
• Experience with federal travel regulations and travel management
• Secret security clearance required PREFERRED QUALIFICATIONS:
• Experience with TDAMIS or equivalent federal program management database
• Prior experience in a federal civilian agency environment
• Experience with records management procedures
