Responsibilities

What you'll do
- Support contracts and payments by assisting internal and external partners, preparing requisitions and encumbrances, and tracking payments so vendors are paid accurately and on time.
- Coordinate meetings and communication by scheduling meetings, preparing agendas and minutes, and managing follow-up so teams stay aligned and informed.
- Serve as division timekeeper using the designated system to ensure employee time is recorded correctly and consistently.
- Maintain and improve administrative processes by documenting standard operating procedures, updating them regularly, and training others to ensure consistency and efficiency.
- Support staff and projects by assisting with onboarding, preparing workspaces, scheduling annual reviews, and helping project teams move work forward.
- Oversee office operations by managing records, maintaining supplies, monitoring office systems, and supervising junior administrative staff when applicable.

- Purchase orders, payments, and timekeeping are completed accurately with minimal corrections.
- Meetings are well organized, documented, and result in clear next steps.
- Administrative processes are clearly documented, easy to follow, and consistently used.

REQUIRES
- Accredited Bachelor's degree OR an equivalent combination qualifying education and experience to include the development and/or operation of administrative systems, programs, policies and practices.
