    CAREER DESCRIPTION

    Office Specialist

    Salary may be negotiable within the range listed above, based on position requirements and successful candidate’s qualifications, subject to appropriate authorization.

    OPEN TO THE PUBLIC

    This recruitment will establish an open eligible list and will be used to fill current and future Office Specialist vacancies until the next recruitment. The eligible list established may be used to fill positions in similar and/or lower classifications within the County of Orange.

    DEADLINE TO APPLY

    THE AGENCY
    The immediate Office Specialist vacancy is within the Health Care Agency department; however, future Office Specialist vacancies may arise in other agencies based on business need. Agencies where Office Specialist vacancies may occur include, but are not limited to OC Community Resources, County Executive Office, Probation, or Social Services Agency.

    THE OPPORTUNITY
    The County of Orange is seeking a motivated, high-performing administrative professional for the role of Office Specialist. This critical position provides specialized clerical and administrative support, often serving as a primary point of contact for departmental operations and public inquiries. Working under general supervision, the Office Specialist is expected to exercise a high degree of initiative and independent judgment to ensure office efficiency and professional standards.
    • Administrative Support: Performing a wide variety of specialized clerical duties, including the preparation and processing of complex documents, reports, and technical materials.
    • Public & Professional Liaison: Acting as a resource for the public and staff by providing accurate information, resolving inquiries, and handling sensitive requests with tact and neutrality.
    • Information Management: Entering, retrieving, and auditing data within automated systems to maintain accurate departmental records, logs, and statistical files.
    • Digital Workflow Coordination: Utilizing the Microsoft Office Suite to manage high-volume electronic communications, schedule complex meetings, and produce signature-ready correspondence.
    • Operational Efficiency: Operating and troubleshooting modern office equipment, such as high-speed scanners and multi-function printers, to support a digital work environment
    CORE COMPETENCIES
    The ideal candidate will demonstrate a blend of technical proficiency, organizational skill, and interpersonal excellence. To be successful in this role, candidates must prove expertise in the following areas:
    • Microsoft Outlook: Ability to manage professional correspondence, coordinate complex shared calendars, and organize departmental meetings.
    • Microsoft Word: Proficiency in producing and formatting diverse materials, including reports and legal documents, with a sharp eye for grammar, spelling, and document structure.
    • Microsoft Excel: Proficiency in data entry and manipulation, including the use of formulas and formatting to maintain accurate financial or statistical records.

    SPECIAL REQUIREMENTS
    Certain assignments or departments may require a more extensive background investigation as a condition of employment. Candidates must successfully clear this process to the satisfaction of the hiring agency prior to their start date. All employment offers for these positions are contingent upon the successful completion of the required background investigation.

    RECRUITMENT PROCESS
    Applicants who have demonstrated meeting the minimum and/or desirable qualifications based on their responses to the supplemental question(s) will be invited to participate in one or more job-related assessments.

    Online Assessment (Weighted 100%):
    Applicants will be notified of their test date and access code, if applicable. After the assessment is completed and scored, only those applicants who are most competitive will move forward to the next step in the recruitment process.

    Application Screening by Human Resources Services (HRS):
    After the assessment is completed, applications will be screened for qualifications that are highly desirable and most needed to successfully perform the duties of this job. Only the names of candidates whose qualifications were verified will be referred to the next step regardless of their score on the assessment.

    Eligible List:
    Once the candidates’ application screening has been completed, HRS will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.
    Based on the Department's needs, the selection procedures listed above may be modified. All candidates will be notified of any changes in the selection procedures.
